Strategic Projects Officer: Client Services

Position purpose

The Strategic Projects Officer is responsible for providing a range of support activities and discrete projects that contribute to the effective and efficient delivery of WAGEC’s client services. The role reports directly to the Director of Client Services.

The core responsibilities are:

  1. Executive Support: support the DCS through coordination, stakeholder management and administrative tasks
  2. Administrative Support: support client services activities through coordination, preparation of reports and documentation and administrative tasks
  3. Operational Support: coordinate the management of facilities, vehicles, and other physical resources
  4. Project Work: deliver ad-hoc, discrete projects to support client services
  5. Administration: complete administration tasks in a timely and thorough
    manner
  6. Actively contribute to WAGEC’s organisational culture

Core responsibilities

1. Executive support: support the DCS through coordination, stakeholder management and administrative tasks

a) Provide executive support to the DCS

b) Coordinate diary, email and travel management, prepare correspondence, documents and presentations for the DCS

c) Assist the DCS by alerting her to urgent matters and maintaining a task list of ongoing work.

d) Coordinate the DCS activities with the client services and senior leadership team

e) Provide a consistent and helpful rapport with all stakeholders

f) Manage confidential and sensitive documentation with appropriate discretion

2. Administrative support: support client services activities through coordination, preparation of reports and documentation and administrative tasks

a) Coordinate committees, meetings and staff activities, including document preparation and dissemination, minute taking, event logistics (e.g. roster of chairing duties, recording Teams meetings) and scheduling. This will require driving across WAGEC sites

b) Compile reports for DCO and managers ensuring data integrity and organisational consistency to accurately report WAGEC or project performance

c) Establish, improve and design administrative frameworks, policies and procedures to improve the running of client services

d) Assist with human resources administration where needed and complete employee-related administrative tasks accurately and on-time

e) Be the primary point of contact in WAGEC for any administration queries

3. Operational support: coordinate the management of facilities, vehicles, and other physical resources

a) Contribute to property management and maintenance of Redfern office and our residential properties across the inner city and inner west e.g. cleaning contracts, scheduled servicing of systems

b) Manage the company and fleet vehicles including services, insurance renewals, registration renewals

c) Coordinate stock/resource ordering and distribution

d) Be the primary point of contact in WAGEC for any operational queries

4. Project work: deliver ad-hoc, discrete projects to support client services

a) Manage small projects independently; project work that is specific and time limited (e.g. change management projects, supporting transitional housing operations, induction of new staff and volunteers)

5. Administration: complete administration tasks in a timely and thorough manner

a) Complete administration tasks required for effective relationship management and delivery of primary prevention activities

b) Participate in team and organisational meetings

c) Maintain accurate records and reports for all activities

d) Submit timesheets and leave requests on time

e) Apply WAGEC’s procedures to daily work

6. Actively contribute to WAGEC’s organisational culture

a) Work in a manner consistent with WAGEC’s vision, values, and strategy

b) Apply WAGEC’s Ethical Stance to ethical dilemmas, managing your professional and personal obligations at work

c) Contribute to WAGEC’s overall social impact

d) Contribute to WAGEC’s overall social impact by delivering on role expectations, from time to time performing other duties as requested by the Director Client Services and being a proactive team member
